Position Summary
Reporting to the CFO/COO, the Executive Assistant to the CFO/COO provides high-level administrative support to the CFO/COO and the HOME (operations) team, including serving as a key point of contact for internal and external constituencies. The ideal individual will be proactive and anticipatory in approach, possess excellent judgment in a variety of situations, demonstrate superior written and verbal communication skills, have a high attention to detail, exemplify an energetic, poised, and positive demeanor, and demonstrate the ability to balance multiple priorities. The Executive Assistant serves as a liaison to and senior management teams and supports Board of Directors meetings; organizes and coordinates executive outreach and external relations efforts; and oversees special projects when needed. As a representative of the organization’s leadership, the successful candidate also must maintain the highest level of confidentiality and diplomacy regarding all organizational matters. The position is located remotely in the US, or in Washington, D.C.
Responsibilities
Executive Support (35%)
Maximize function of the CFO/COO by assisting with daily administrative duties and completing a broad variety of administrative tasks that include:

Manage an active calendar of appointments and responding to all meeting invitations and independently resolving scheduling conflicts;

Timely manage the CFO/COO’s emails, and composing and preparing correspondence;

Assist CFO/COO in setting priorities, keeping commitments, and meeting deadlines
-
Understand and anticipate the CFO/COO’s needs including the preparation and scheduling of all activities;
-
Draft letters for signature based on notes or other direction given;
-
Complete expense reports; arranging complex and detailed travel plans, itineraries and agendas and compiling documents for meetings.
Process Improvement (30%)
Lead HOME Team to continuous improvement by:

Provide either direct management or administrative assistance for team functions managed directly by CFO/COO such as IT, organizational insurance, and others as assigned

Develop, maintain, and populate tracking and reporting functionality across team functions
-
Maintain schedule of needed publishing from HOME Team & ensure documents are updated on schedule
-
Research gaps between HOME Team services and organizational needs and then prioritize gaps with the CFO/COO, propose options, and implement agreed solutions
-
Investigate & implement SharePoint capabilities and other tools and apps to improve and automate process flows, tracking, and reporting across the team as prioritized
-
Organize team meetings, and support team members in addition to other tasks as assigned
-
Track and/or collect data and help prepare strategic plan reporting as needed for new data, research, and strategy team

Engage with organizational anti-oppression efforts to connect and engage HOME Team
HR & Operations Support (20%)
-
Screen contract submissions and assist staff as needed to design vendor contracts that maximize operational performance and minimize organizational risk

Draft job descriptions for hiring managers under guidance of HR team
-
Draft, edit, and manage updates for organizational policies including the employee handbook, working with the CFO/COO, the HOME Team, and outside counsel as needed

Support the Associate Director, HR & Operations in various ways including events, new hire orientation, and other ways as needed for surge capacity.
Board & Other Support (15%)

Track, collect, and analyze data regarding the HOME Team’s performance toward the organization’s strategic plan
-
Assist strategy team in preparation of strategic plan reporting internally and to the board
-
Assist with scheduling and document preparation for board meetings and special events such as RESULTS’ annual International Conference as needed
Qualifications
Bachelor’s degree or similar experience is required with at least five years of administrative support experience, preferably with some experience in an executive office/C-suite setting.
