About the Position
Dexis Professional Services seeks a motivated candidate to serve as Staff Assistant in the United States Agency for International Development’s (USAID) Bureau for Development, Democracy and Innovation (DDI)Front Office.
DDI provides technical leadership, research, and field support for worldwide activities in a variety of technical areas, including climate, gender, democracy and governance and digital development. The Bureau represents the Agency on a wide range of technical matters in the interagency and with Congress, outside partners, other donors, and multilateral institutions. The Bureau also supports research and rigorous impact evaluations to advance USAID strategies and programs in DDI sectors and determine the most effective approaches. DDI encourages innovation and is identifying new ideas that can be brought to scale in support of Agency development priorities.
As a Staff Assistant, you will directly support senior Agency leadership, specifically Deputy Assistant Administrators in the DDI Front Office. Work will include calendar management and scheduling appointments; processing documentation for review; coordinating with others in the Front Office, building relationships across other Offices in the Bureau, and various parts of the Agency and interagency community; and creating and maintaining systems of records in accordance with Agency guidelines.
Responsibilities
Duties and Responsibilities:
Schedule and Logistics Management

Schedules appointments and updates/maintains principals’ calendars to resolve scheduling conflicts.

Provides support for DDI meetings, brown bag seminars, workshops, conferences, retreats and other events.

Assists in preparation of routine reports, e.g., weekly reports, calendars of events, lists of publications, etc.

Participates in strategic planning by recommending ways to improve DDI management and identifying future DDI needs.

Serves as timekeeper (time and attendance) for senior officials, ensuring time is validated on a bi-weekly basis.

Provides telephone coverage, photocopying and scanning services.
Document Management

Manages robust correspondence process that involves prioritizing multiple taskers with short fuse deadlines

Organizes and processes documents, primarily electronic documents, for principal review.

Reviews DDI correspondence for proper formatting as prescribed in official Agency guidance.

Keeps abreast and implements Agency guidance to ensure proper document management e.g., including clearance processes and electronic filing.

Produces documents to a very high standard without need for re-editing prior to clearance and dissemination from DDI.

Tracks, controls, and files documents (log and track documents, standardizes and maintains files according to Agency Records Management directives).

Maintains Sensitive But Unclassified (SBU) personnel and document files.
Travel Management

Processes principal travel on receipt of itineraries, including reservations, ticketing, and visas/passports.

Obtains country clearances for international travel.

Processes travel authorizations and vouchers.

Documents travel in the Agency’s electronic systems.
Qualifications

Bachelor’s Degree

Administrative Experience

Facility access clearance eligibility

Familiarity with Google G Suite and Microsoft Office

Excellent communication, organization, and coordination skills
